Life Aware Technologies LLC ("we," "us," or "our") operates the FrontDesk platform at frontdeskco.ai. This Privacy Policy describes how we collect, use, store, and share information when you use FrontDesk or interact with our AI voice agents.
1. Information We Collect
1.1 Caller Information
When a caller contacts a business that uses FrontDesk, we collect:
- Phone number (caller ID)
- Name, email address, and other contact details voluntarily provided during the call
- Real estate preferences including property type, area of interest, price range, timeline, and buying/selling/renting intent
- Call recordings and full transcripts of conversations with our AI voice agent
- AI-generated call summaries and lead qualification scores
1.2 SMS Messages
When you send or receive text messages through FrontDesk, we collect the message content, sender and recipient phone numbers, message direction, and timestamps. Messages may be processed by AI to determine intent and route responses.
1.3 Business Account Information
When a business subscribes to FrontDesk, we collect:
- Owner name, email address, phone number, and business name
- Business address, service area, specialties, and operating hours
- Subscription and plan information
1.4 Appointment Data
When appointments are booked through FrontDesk, we collect appointment details including date, time, title, description, and status. If a business connects their Google Calendar, we store OAuth tokens to synchronize appointments.
1.5 Usage Data
We collect technical information about how the platform is accessed and used, including IP addresses, browser type, device information, and interaction logs.
2. How We Use Your Information
We use collected information to:
- Operate and provide the FrontDesk voice agent and SMS services
- Qualify and route leads to the appropriate business subscriber
- Schedule and manage appointments on behalf of business subscribers
- Generate call transcripts, summaries, and lead insights
- Send notifications to business subscribers about new leads and calls
- Improve our AI models and voice agent performance
- Comply with legal obligations and enforce our Terms of Service
3. Call Recording and Consent
FrontDesk records and transcribes phone calls handled by our AI voice agents. Callers are informed at the beginning of each call that the conversation is being recorded. By continuing the call after this disclosure, callers consent to the recording.
Business subscribers are responsible for ensuring their use of call recording complies with applicable federal and state laws, including the Telephone Consumer Protection Act (TCPA) and state wiretapping and consent laws. Some states require all-party consent for call recording.
4. SMS and TCPA Compliance
FrontDesk sends SMS messages on behalf of business subscribers. Messages may be generated or responded to by AI before human review. Business subscribers are responsible for obtaining proper consent from recipients before enabling SMS communications through FrontDesk, in compliance with TCPA, CTIA guidelines, and applicable A2P 10DLC registration requirements.
5. Third-Party Services
We use the following third-party services to operate FrontDesk:
- Amazon Web Services (AWS) — Cloud infrastructure, data storage (DynamoDB), compute (Lambda), content delivery (CloudFront), and event routing (EventBridge). Data is stored in the US.
- Amazon Nova Sonic — AI voice model that powers our voice agent conversations.
- Twilio — Telephony and SMS services for inbound and outbound calls and text messages.
- Google Calendar — Appointment synchronization when a business subscriber connects their Google account via OAuth.
- Cloudflare — DNS management and content delivery.
Each third-party provider has its own privacy policy governing how they handle data. We encourage you to review their policies.
6. Data Retention
We retain caller information, call recordings, transcripts, and lead data for as long as the business subscriber's account is active, or as needed to fulfill the purposes described in this policy. Business subscribers may request deletion of specific caller data by contacting us. After account termination, we retain data for up to 90 days before permanent deletion, unless a longer retention period is required by law.
7. Data Security
We implement industry-standard security measures to protect your information, including encryption in transit (TLS) and at rest, access controls, and secure infrastructure on AWS. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Data Sharing
We do not sell your personal information. We share information only in the following circumstances:
- With business subscribers: Caller information, transcripts, and lead data are shared with the business subscriber whose phone number was called.
- With service providers: We share data with the third-party services listed in Section 5 as necessary to operate the platform.
- For legal compliance: We may disclose information when required by law, court order, or government request, or to protect rights, safety, or property.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Opt out of future communications
- Request a copy of your data in a portable format

10. Children's Privacy
FrontDesk is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will take steps to delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify business subscribers of material changes via email or through the FrontDesk dashboard. The "Effective Date" at the top of this page indicates when the policy was last revised.
